  • Overview

     

    Office Assistant assists with the day-to-day functions of the Property Support Department.  Serves as the maintenance "go-to" person for Guests, Owners, Vendors and Contractors, responding to a wide variety of requests.   Maintains cordial, professional relationships and assists with maintenance needs.  Must possess excellent communication and organizational skills. Must be organized and cool under hectic conditions.

    Responsibilities

     

    • Primary focus is Excellence in customer service, communication and organization.
    • Answers large volume of telephone calls and computer e-mail messages.
    • Helps guests and owners resolve maintance issues.
    • Works directly with building maintenance supervisors to track & monitor progress of call log volume.
    • Maintains a strong relationship with Sugarloaf owners and their guests.
    • Maintains accurate filing system for each owner and keeps current communications in Maintenance Connection.
    • Radio dispatch of service calls.
    • Places maintenance blocks and checks availability of units in Springer-Miller.
    • Regular updates to owners regarding work status.
    • Maintains accurate office filing system (owners, vendors, paid invoices, association accounting).
    • Assists with management of key system for units and commercial spaces.
    • Assists Office Manager with communications to associations and website updates
    • Data Entry - update Maintenance Connection accounts with prior summer's Preventative Maintenance notations
    • Projects as assigned.

    Qualifications

     

    Education & Training:  Minimum of High School Degree

    Experience:                  Knowledge of accounting and budgetary practices is helpful but not mandatory. Through knowledge of Microsoft Office required.

    Orientation:  Expected time to learn duties & show proficiencySix Months
