As the Executive Administrative Assistant you will provide support to the GM and acting with little supervision, anticipating needs while managing the daytoday workflow and prioritizing various projects, which includes scheduling, contact management, preparing materials for meetings, and participating in a wide range of special projects. The Executive Administrative Assistant will perform, coordinate and oversee administrative duties while providing an extensive level of support. This will enable the GM to work more efficiently and effectively towards reaching the organization’s growth goals


  • Maintain master corporate calendar of all-hands events, conferences, holidays and vacations
  • Receive incoming calls and emails; take messages, respond appropriately and route correspondence to the appropriate executive of staff member
  • Handle requests, feedback and queries quickly and professionally
  • Manage all of our lessee arrangements and agreements along with specific vendor agreements. Including; lease/vendor agreements, payments receipts, insurance requirements, relationships, lease performance
  • Maintain daily electronic journal, arrange meetings and appointments and provide reminders as needed
  • Arrange executive travel, hotel and dining arrangements as needed
  • Guest Survey (NPS) Coordinator; manage detractors, manage survey squad, communicate and distribute reports accordingly and follow up with team and guests to increase guest satisfaction
  • Take meeting minutes, accurately enter notes and distribute
  • Draft, produce and edit correspondence, presentations, briefs, reports, articles, reports, lease agreements and presentations to ensure accuracy and professionalism
  • Coordinate gifts and other related items as requested.
  • Maintain strong relationships with vendors and keep price data in order to get best pricing on supplies and services
  • Produce professional quality reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system for both paper and electronic records
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects and meet critical deadlines
  • Create & distribute reports
  • Special projects as needed
  • Update phone recordings
  • Update internal phone trees
  • Ensure executive team is prepared for upcoming appointments by gathering materials necessary and as needed


  • Full knowledge of office management systems and procedures
  • Basic bookkeeping and math skills
  • Proficiency in English; second language a plus
  • Exemplary planning and time management skills
  • Ability to stay calm and on-task in high-stress situations
  • Highly skilled with today’s office technology, and computer software including MS Office ,Excel, and PowerPoint
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Ability to write up draft letter and contracts from notes and bullets points
  • Discretion with personal and confidential information
  • Bachelor’s degree or equivalent
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion and diplomacy with all internal and external stakeholders. Must demonstrate ability to maintain confidential and sensitive information.
  • Resourceful, positive, strategic problem solver with a sense of humor.
